Impact Tribe exists to help people move with purpose through story-driven virtual challenges. We believe trust is just as important as technology, so we've designed our platform to collect only the information we need, explain clearly why we collect it, and give you meaningful control over how it is used.

This Privacy Policy explains:

  • how we protect it
  • how artificial intelligence (AI) is used
  • how behavioural information is handled
  • your rights over your information

Throughout this policy, "Impact Tribe", "we", "our" and "us" refer to the operator of the Impact Tribe platform.

Challenge Information

Preferences

During onboarding we may ask about things such as:

  • your motivations
  • preferred communication style
  • preferred challenge experience
  • WhatsApp preferences
  • email preferences

These preferences help us personalise your experience.

Behavioural Information

If you choose to opt in, we collect anonymous behavioural patterns to help improve your experience and develop future versions of Impact Tribe.

Examples include:

  • milestone interactions
  • narrative engagement
  • onboarding journey
  • reflection timing
  • challenge engagement
  • feature usage

We do not collect:

  • keystroke logging
  • screen recording
  • hidden surveillance
  • advertising identifiers
  • device fingerprinting

Behavioural information is separated from your identity wherever reasonably practical.

  • calculate your progress
  • personalise your experience
  • deliver community features
  • respond to support requests
  • improve our platform
  • keep our services secure

If you give permission, we may also use information to:

  • improve behavioural understanding
  • improve future challenge design
  • improve narrative personalisation
  • improve AI-assisted features

5. Behavioural Research

Impact Tribe is designed to learn what helps people build and maintain meaningful movement habits.

Participation in behavioural research is optional and requires your explicit consent.

If you choose to opt in, we collect behavioural patterns using a separate research identifier rather than relying on your personal identity wherever reasonably practical. While your account is active, this information is pseudonymised, meaning it is separated from your identity but still linked to your account so we can personalise your experience.

Examples of behavioural research include:

  • which types of encouragement are most helpful
  • how users interact with stories
  • how motivation changes over time
  • which challenge experiences are most engaging
  • how different narrative experiences influence participation

This information helps us improve Impact Tribe, design better challenges and better understand how people build lasting movement habits.

We do not sell behavioural information.

We do not create advertising profiles.

You can withdraw your behavioural research consent at any time from your profile settings. Withdrawing consent stops future behavioural research collection but does not affect the operation of your account.

If you later delete your account, we delete your personal information and operational account data. Where you previously consented to behavioural research, and where permitted by applicable law, we may retain only structured behavioural research that has been irreversibly anonymised so it can no longer reasonably be linked back to you.

If research information cannot be safely anonymised, it is deleted.

6. Artificial Intelligence (AI)

Some features within Impact Tribe use artificial intelligence.

Examples include:

  • generating personalised stories
  • classifying reflections
  • adapting encouragement

AI is only used if you choose to opt in.

Before information is processed by AI:

  • your consent is checked
  • we automatically remove obvious identifying information before AI processing
  • direct personal identifiers are excluded from AI requests wherever reasonably practical

We do not claim that every possible identifying detail can always be removed. Free-text reflections may contain information that cannot always be detected automatically.

If you disable AI processing:

  • your challenges continue to work
  • your progress continues to be tracked
  • rule-based alternatives are used instead of AI where available

7. Reflections

Reflections are personal.

Only you decide whether to write them.

Reflections are stored securely to support your journey while your account remains active.

If you choose to enable AI processing, a temporary sanitised copy of your reflection may be analysed to generate structured classifications that help personalise your experience. Before AI processing, we automatically remove obvious identifying information where reasonably practicable and minimise the information shared.

We do not claim that every possible identifying detail can always be detected or removed automatically.

Your original reflection is never retained as part of our long-term behavioural research.

If you delete your account, all reflection text is permanently deleted.

Only structured, non-identifying classifications (such as reflection depth or sentiment), where you have consented to behavioural research and where they have been irreversibly anonymised, may be retained for research purposes.

8. Communications

With your permission we may contact you by:

  • email
  • WhatsApp
  • in-app notifications

You control:

  • whether we contact you
  • how often we contact you
  • which channels we use

You can update these preferences at any time.

9. Community

Impact Tribe includes community features.

Anything you choose to share with the community may be visible to other members according to your privacy settings.

You remain responsible for what you choose to share publicly.

Please avoid posting information you would not want other members to see.

10. Sharing Your Information

We only share information where necessary to operate the platform.

This may include trusted service providers that help us provide services such as:

  • hosting
  • authentication
  • AI processing
  • messaging
  • email delivery
  • activity integrations

These providers process information on our behalf under appropriate contractual arrangements where applicable.

We do not sell your personal information.

11. International Processing

Some of our service providers may process information outside your country.

Where this happens, we take reasonable steps to ensure appropriate safeguards are in place.

We use a combination of technical and organisational measures designed to protect your information.

No online system can guarantee absolute security, but we continually review and improve our safeguards.

15. Account Deletion & Data Retention

We keep information only for as long as reasonably necessary to:

  • operate the platform
  • provide and improve our services
  • meet legal obligations
  • protect the security and integrity of the platform
  • conduct lawful behavioural research where you have provided consent

When you delete your account, we permanently delete the personal information that identifies you, together with the operational information needed to run your account.

This includes information such as:

  • your account profile
  • email address
  • authentication details
  • communication preferences
  • activities linked to your account
  • private reflections
  • notifications
  • messages
  • challenge participation records required only for operating your account

Where you have chosen to participate in behavioural research, we may retain only structured research information after it has been irreversibly anonymised, meaning it can no longer reasonably be linked back to you.

Before any research information is retained:

  • all personal identifiers are removed
  • links to your account are permanently broken
  • operational identifiers are removed
  • free-text reflections are deleted
  • message content is deleted
  • any information that cannot be safely anonymised is deleted instead

Examples of anonymised research information that may be retained include:

  • behavioural patterns
  • challenge engagement
  • narrative interaction
  • motivation trends
  • anonymised reflection classifications
  • behavioural timing patterns

This information is retained solely to improve Impact Tribe, understand behaviour change and develop future challenge experiences.

We never retain your personal identity alongside anonymised research information after account deletion.

We never sell this information or use it to create advertising profiles.

16. Children

Impact Tribe is intended for users aged 18 years or older unless otherwise stated for a specific programme.

If we become aware that we have collected personal information from someone who should not be using the service, we will take appropriate steps to remove it.

17. Changes to This Policy

As Impact Tribe develops, this Privacy Policy may change.

If changes are significant, we will let you know before they take effect where appropriate.

The version number and effective date at the top of this document will always show the latest version.
